Privacy Policy

How Tracvio collects, uses and protects your information — in plain language.
Our promise
We never sell or rent your data, and we never share it with third parties for advertising or marketing. We only use your information to run your Tracvio account and support you.
1. Who we are
Tracvio ("we", "us") provides cloud business software — retail and supermarket point-of-sale, restaurant and café POS, manufacturing, textile-mill and brick-kiln systems, accounting and ERP, equipment rental, laundry, security-guarding, school management and staff management — under tracvio.io. This policy explains what information we collect, why, and your choices.
2. What we collect
- Account details — your name, email, phone, business name, country and currency when you sign up or a store is set up for you.
- Data you enter — the products, customers, orders, invoices and staff records you create in your store. This is yours; we just store and process it so the software works for you.
- Basic technical data — things like IP address and browser type in our logs, used to keep the service secure and working.
- Records your business enters about other people — depending on the products you use, this can include staff attendance, hours and pay; students, guardians and their fees where you run a school; guards and their site attendance; and customers, suppliers and their contact details. You decide what to enter; we hold it for you.
- Fingerprint readers — where a site uses one, we store only the enrolment number the reader sends us and the time of the punch. We never receive or store a fingerprint image or template — that stays on the device.
- Sign-in records — the email or username tried, the IP address and the result, kept so we can stop password-guessing and show you who has been signing in.
- A WhatsApp number, if you give us one at sign-up or in your settings, so we can reach you about your account.
- Cookies and data kept in your browser — see our Cookie Policy.
3. How we use it
- To run, maintain and secure your account and store.
- To sign you in and prevent fraud or abuse.
- To contact you about your account, security and support.
- To send product tips or updates — only if you've asked for them, and you can opt out anytime.
4. Who we share it with
We do not sell your data or share it with anyone for marketing or advertising. We only share it with:
- Trusted providers who run the service for us — our cloud hosting provider, and Microsoft 365 for the email the system sends on your behalf. They are bound to keep your data confidential and use it only to operate Tracvio. A current list is on our Data Processing page.
- A partner who set up your store for you — only what's needed to support you.
- Authorities — only if the law requires it.
5. Where your data is stored
Your store runs on managed cloud servers in Germany (European Union), whichever country your business is in. If we ever move or add a region we will say so here first.
6. How long we keep it
We keep your data while your account is active, plus a short period afterwards for legal and accounting reasons. You can ask us to delete your account data at any time.
7. Security
We protect your data with encryption in transit, one-way password hashing, strict access controls, optional two-step sign-in, recorded sign-in attempts and continual updates. Our Security page sets this out in full.
8. Your rights
You can ask us to access, correct, export or delete your personal data. Just email support@tracvio.io.
9. Children
Tracvio is a business tool and we do not market it to children or collect information from them directly. Where a school uses our school-management product, the school decides what pupil and guardian information to record and remains responsible for it; we hold it for the school and use it only to run the service.
10. Changes
If we update this policy, we'll post the new version here with a fresh date.
